Grow with Vantaa – Information for event producers

We will contact you within two (2) business days to let you know if your event has been accepted for the Grow with Vantaa week.

Please fill in the form carefully, as we take your replies into consideration when deciding if your event will be accepted:

1. For the business event week, as the name implies, we only accept events that are aimed at business representatives or aspiring entrepreneurs.

The event may have a certain target group, such as startups or microenterprises.

Companies may, for example, be represented as exhibitors during the event.

2. The event itself, or the theme of the event, must be related to growth.

Please also consider sustainability when you plan your event. You will find guidelines related to sustainability on this page.

Please keep in mind that the selection of events for the week will be at our discretion.

Access communication and marketing materials related to the Grow with Vantaa week in the repository. You can freely use the material for promoting your event.

The ready-to-use marketing materials will ensure that your event gains recognition as part of the Grow with Vantaa week, and assures that all communication related to the event is unified and consistent.

Here you will find tips on how to take sustainability into account when organizing your event. We encourage you to set up your own sustainability protocol for the event.

Procurement

• Please make sustainable purchases, and favor recyclable and reusable materials.

• Please favor products that have received a sustainability or environmental certification, such as the Nordic Swan Ecolabel.

Food and beverages

• Plant-based food has a smaller carbon footprint and is generally healthier. If you are serving food, please favor seasonal plant-based food or fish from lakes or the Baltic Sea, caught according to sustainable fishing principles.

• Please take attendees with special diets into mind and serve oat milk for coffee.

• If you are serving food, ask for binding registration to avoid food waste.

• Whenever possible, use durable dishes and goods instead of disposable ones. Plastic water bottles can be replaced by water pitchers.

• Make sure there is a faucet for attendees to refill their water bottles.

• If you were to end up with surplus food when the event has ended, it might be possible to donate it to Vantaa’s Food Waste Project Yhteinen pöytä. Contact their personnel to agree on a pick-up of surplus food. They are usually happy to pick up even small amounts. Their contact details are on the linked page.

The venue

• Up to half of the attendees’ carbon footprint can be caused by arriving at the venue. Encourage the use of public transportation, bicycles or carpooling.

Safety, equality and fairness

• Follow the principles of equality and equity.

• Make sure that everyone knows how to intervene if they observe inappropriate behavior.

• Explicitly state that everyone has the right to feel safe without fear of discrimination, bullying or sexual, physical or verbal harassment.

• For everyone to feel welcome, take the diversity of performers into account when planning the event. When organizing panel discussions, bear in mind that the panelists do not represent just one gender.

• Do find out in advance whether the venue is accessible and barrier-free, and consider how to cater to people with hearing and vision impairments. Don’t forget that videos should have subtitles.
